• The Docvora marketing website (docvora.com)
• The Docvora application and management platform
• All Docvora-hosted documentation instances (e.g. *.docvora.com or customised domain)

• Your rights regarding your information

By using Docvora, you agree to this Privacy Policy.

3. Information We Collect

3.1 Account Information

When you create or manage an account, we may collect:

• Name
• Email address
• Encrypted (hashed) password
• Account identifiers and settings
• Your device's light or dark display setting at sign up

3.2 Authentication Data

If you use third-party authentication providers (Google, Discord, Microsoft, GitHub), we may store:

• Provider user ID
• Display name
• Avatar image
• Linked authentication method

We do not receive or store passwords from these providers.

3.3 Security & Audit Data

For security, auditing, and abuse prevention, we may collect:

• IP addresses
• Last login timestamp
• Login history
• Security-related logs

3.4 News and Guide Sign-ups

If you sign up for Docvora news or guides on docvora.com without an account, we collect:

• Your email address
• The page you signed up from
• Which emails you signed up for (news, guides or both), when you signed up, when you confirmed, and when you unsubscribed, if you do

We don't ask for your name. When you sign up, we check with Bouncer, an email verification service, that the address can receive mail. Your IP address is used for a short time to stop repeated sign-ups and isn't saved with your sign-up.

4. User Content & Documentation Data

When you purchase a Docvora instance your documentation content is stored in an independent database separate from the Docvora marketing and management platform.

• Content may include pages, spaces, categories, files, and media.

Content Visibility

• Content can be set as public or private by instance administrators.
• Visibility is controlled entirely by the instance owner.

Ownership of Content

• You retain full ownership of all content you create on an instance.
• Visibility is controlled entirely by the instance owner.

Service Suspension & Deletion

• If a subscription is cancelled or suspended, content becomes inaccessible.
• Users have 30 days to request an export of their data before permanent deletion.

5. Payments & Billing

All payments are collected securely through Stripe.

We store

• Subscription identifiers
• Subscription status and expiry
• Payment amounts and timestamps

We do not store

• Credit or debit card details
• Full billing addresses

All payment information is handled directly by Stripe under their security and compliance standards.

6. Cookies, Local Storage & Analytics

Cookies

We use cookies on Docvora websites and instances for:

• Session management
• Authentication
• Basic functionality
• Remembering your device's light or dark display setting
• Remembering which website referred you to docvora.com and the first page you visited, for up to 90 days, so we can tell which of our listings and pages bring new customers. If you create an account, this is saved with it.
• Passing sign-up, checkout and cancellation events to our analytics on the next page you view. This cookie lasts at most 5 minutes.

Local Storage

On Docvora websites and instances, local storage may be used for:

• Your light or dark theme choice
• UI preferences (e.g. sidebar position)
• Recently accessed content

Analytics

• On the main website (docvora.com) we use Umami, a privacy-focused analytics tool that we host ourselves. Umami doesn't use cookies, doesn't collect personal information such as your name or email address, doesn't store your IP address and doesn't track you across other websites.
• It records page views and actions such as starting a sign-up or checkout, along with general information like browser, device type, country and the referring website. Before anything is recorded, we remove details from page addresses other than campaign tags (such as utm_source).
• No analytics tracking is used within customer documentation instances, unless configured directly by an instance administrator

We do not use personalised advertising or behavioural profiling.

7. Email Communications

We use Twilio SendGrid to deliver:

• Account & Instance notifications
• Security alerts like unexpected logins
• Service-related emails
• News and tips: release notes, product news, and tips for new customers
• Guides: an email when we publish a new guide on docvora.com

Email addresses are shared only for email delivery purposes and are not sold or reused.

News, Tips and Guides

Accounts registered on docvora.com get news, tips and guides unless they turn them off. If you don't have an account, you only get news or guides after you sign up for them on docvora.com and confirm your email address using the link we send you. Signing up for one doesn't sign you up for the other. If you don't confirm, we won't email you again unless someone signs up with that address again. Links in these emails carry campaign tags so we can see how many visits come from an email.

Unsubscribing

You can stop news and tips, guides, or all of them at any time:

• Use the links at the bottom of any of these emails, which let you leave that kind of email or all of them, or the unsubscribe option your email app shows
• If you have an account, turn off Product news, release notes and tips or New guides under Email Preferences in your account settings
• Email support@docvora.com and we'll unsubscribe you

Unsubscribing doesn't stop emails about your account, instances, billing or security. When you unsubscribe, we keep your email address and the date so we don't email you again. To have it deleted completely, contact support@docvora.com.

8. Data Hosting & Security

Content Hosting

Docvora's main website and instances are hosted exclusively with business partner TurboNode, LLC. within the United States and/or Australian locations.

Backups

At times we perform encrypted backups of our systems which are retained for operational and disaster recovery puposes.

Security Measures

We protect data using:

• HTTPS encryption in transit
• Encrypted passwords and sensitive data at rest
• Access controls and audit logging
• Regular security monitoring

9. Data Sharing

We do not sell or rent personal data. We provide data to the following businesses

• Stripe (name and email address)
• Twilio SendGrid (name and email addresses)
• Bouncer (email addresses, to check they can receive mail when you create an account or sign up for news or guides)
• Infrastructure providers required to operate Docvora

All third parties are required to meet appropriate data protection standards.

You have the right to:

• Access your personal data
• Correct inaccurate information
• Request deletion of your account
• Request an export of your data
• Unsubscribe from news, tips and guides at any time

• 27 October 2026: Added news sign-ups on docvora.com for people without an account: what we collect, how addresses are checked, and how to unsubscribe. Added the Email Preferences setting for account holders, and listed Bouncer among the businesses we share data with.
